
Policies for Group Travel with BeeLine Coaches

PRICE : The price on the confirmation is based on the itinerary given to BeeLine Coach & Travel at the time of pricing. Should the itinerary, actual miles of the trip or time change at any time prior to the trip’s departure or be different upon the return of the trip, the group will be billed accordingly. On the day of the trip any change in itinerary must be approved by our office and may result in additional charges.
PAYMENT : 10% deposit or $100 (whichever is greater) per vehicle booked is due upon receipt of our written confirmation. Final payment is due 30 days prior to trip date. Reservations made less than 30 days prior to the trip date must be paid by credit card or cash at the time of booking. A $50 fee will be charged for any checks that are returned to us by the bank. Payment in full is required before BeeLine Coach & Travel can make any payment for meals, lodgings or attractions for a group and varies according to the vendor involved. Refund policies also vary according to the vendor involved and will be stated on your written confirmation.
A late payment finance charge will be made on all past due accounts at the rate of 1.5% per month. If collection is made by suit or otherwise, all collection costs, including any attorney's fees will be due and payable.
CANCELLATIONS: PLEASE READ ENTIRELY.
Refunds on Deposits: Customer will receive a full refund minus 10% or $100, whichever is greater, on the deposit, if the trip is canceled 90 days prior to the departure date. No refunds on deposits will be given after 90 days. However, in lieu of a refund, a letter of credit for a future charter will be given to the customer.
Refunds on Amounts Paid Towards Trips in Addition to the Deposit: Customer will receive a full refund on funds paid towards the trip past the amount of the deposit if the trip is canceled 90 days prior to the departure date.Customer will be charged 50% of the total transportation amount if cancellation is made 60 days prior to departure date. Customer will be charged 75% of the total transportation amount if cancellation is made 30 days prior to departure date.There is no (0%) refund if canceled less than 30 days or less prior to departure date. However, in lieu of a refund, a letter of credit for a future charter will be given to the customer.
CHILD/CAR SEAT POLICY : No car seats permitted. For the safety and enjoyment of all passengers, every child must be able to sit in a seat.
DAMAGE OR RETURN OF VEHICLE IN UNACCEPTABLE CONDITION : Our vehicles are carefully inspected and cleaned prior to departure from our garage. Any damage to seats, windows or other parts of the vehicle that is caused by a member of the group chartering the bus shall be the financial responsibility of the chartering group. BeeLine Coach & Travel will bill the group for repairs and damage. If there will be eating and/or drinking on the vehicle we request the group to bring trash bags. If the vehicle requires excessive cleaning, the group will be charged up to $300 per vehicle. Your credit card will be charged the following business day. Kegs, glass bottles or propane tanks are not permitted on our vehicles.
ELECTRONIC DEVICES : Operation of PA System, radio, WiFi or DVD and monitors is not guaranteed, however all effort to have these amenities at time of service will be expedited. Failure of non-operational equipment such as VCR, DVD player, Sound system or PA is not cause for a refund or any amount.
LEASE EQUIPMENT: BeeLine Coach & Travel reserves the right to lease equipment from other companies to fulfill our obligations.
GRATUITIES : Gratuities ARE NOT included in the price quote unless requested. To express appreciation for a job well done, the customary industry guideline is $2 - $5 per person per day or 12% of charter price, but is not required.
NO SMOKING : Smoking or vaping is not permitted on BeeLine Motorcoaches.
WEATHER POLICY : Pending BeeLine Coach & Travel approval, customers may reschedule their trip without penalty. This notice must be received 12-24 hours prior to departure time. If the customer cancels and does not reschedule, refer to our cancellation policy for the cancellation fee. If customer cancels after our driver has reported for duty (usually 2-4 hours prior to leaving parking facility), there is a cancellation fee of $250.
ROUTE & TIME GUARANTEES: The driver will make every effort to stay on schedule with your itinerary, however the company is not responsible for delays caused by US DOT Regulations, traffic conditions, weather related conditions, and/or directions provided to the driver by any passenger.
FUEL SURCHARGE: BeeLine Coach & Travel reserves the right to increase our charges for the proposed services due to increases in fuel cost. These increases occur without warning and are beyond our control.
PERSONAL ITEMS & LUGGAGE : BeeLine Coach & Travel is not responsible for luggage or items left, stolen or damaged on the bus.
WARNING
It is a federal offense, punishable by as much as life imprisonment, for any person to threaten or interfere with the operation of, or to harm or to make any attempt to disable a commercial vehicle or its driver. We reserve the right to refuse to transport any person(s) whose actions the driver deems, to be in violation of law, or any action that would affect the comfort of other passengers or would interfere with the driver’s ability to operate safely.
The United States Department of Transportation regulates the charter bus industry. Drivers are required to carry a current physical exam card, undergo drug testing under the DOT rules and regulations and maintain a log for miles and hours of service. DOT regulation 395.10 restricts driving hours. Because of these restrictions drivers may not be able to tour with or transport passengers upon arrival at your destination. Please call your sales person before finalizing your itinerary.

What is the seating capacity of your motor coaches?
Our motor coaches come equipped with 55 and 56 seats depending on your group size and type of bus.
What about the pick up location & destination?
It is very important to know the exact location and address where you would like your group to be picked up and dropped off.
Do I need to supply parking for the bus?
The customer is responsible for secure and sufficient parking of the coach at the destination location(s). The customer is also responsible for any charges associated with the parking of the motor coach.
How many hours can drivers drive the bus?
They are permitted 10 hours of driving time and 15 hours of on duty status within each 24 hour period. This is in compliance with Department of Transportation hours of service rules and regulations.
Do your coaches have video or DVD players?
Our buses are equipped with DVD and monitors to play movies, shows, and documentaries.
Do your coaches have restrooms?
All of our over the road buses are equipped with a restroom. It should be used for emergencies only to avoid people standing and moving around the coach while in motion. Drivers will stop every 2-4 hours or per group leader request at facilities to allow passengers to use the restroom should your trip include multiple driving hours from pick up location to destination.
What about wheelchairs and scooters?
We can provide handicap access buses. These are specially equipped buses with lifts to load and unload the wheelchair and scooters. BLC will need to be made aware of these special arrangements in advance of your trip.
What are the insurance requirements for Motor Coach Operators?
Our buses are insured with the 5 million dollar coverage required by the Department of Transportation for interstate travel. Buses that do not travel across state lines (intrastate) have an insurance requirement of 1 million dollars. At your request we can notify our insurance company to issue you or your organization a certificate of insurance indicating our specific policy information.
Can I use the bus once I reach the destination point?
The bus can be used based on the driver's hours of service regulation. They are permitted 10 hours of driving time and 15 hours of on duty status within each 24 hour period. This is in compliance with Department of Transportation hours of service rules and regulations.
What experience do your motor coach drivers have?
Our drivers need to meet a minimum 2 years of prior passenger driving experience before they are considered for a driving position. Our insurance company verifies this prior experience while checking each driver's CDL and driving record.
Can drinks and snacks be brought inside the bus?
A cooler provided by you with drinks and snacks can be brought into the bus with previous approval by our sales staff and dispatch office. Alcoholic beverages will also need to be approved by our office and will require a “cleaning” deposit. No underage drinking is ever allowed. NO SMOKING is ever allowed in our buses.
What do I do if I have a problem?
Our dispatch office is available 24 hours a day/ 7 days a week. Dial our regular office number, 601-262-7217, and a dispatcher will answer; or leave a message and you will be promptly called back.
Can I request a specific driver?
Please notify a staff member if you would like to request a specific driver. We can not guarantee that diver will be available during your dates and times of travel, but if they are, we will make every effort to assign them to your services.
